One: Make productivity a way of life

Recognize that real productivity requires that you:

  • Optimize your entire life.
  • Concentrate on both your home life and your work life.

To be effective over the long run, we each must achieve a balance between our relationships, our contribution, and our spirit.

Two: Manage Energy and Alertness-Not just time

Next, when you’re attacking your to-do list, it’s critical to:

  • Determine the level of effort and intellectual horsepower necessary to accomplish each task.
  • Balance the level of effort with the job’s importance or relevance (devote more time to your significant endeavors).
  • Schedule the appropriate amount of time, at a suitable time of day.

Our level of performance naturally fluctuates throughout the day. When are you most mentally alert? When is your physical strength at its peak? Review your assignment. Do you require to be full of energy and at your peak mental capability or can you do this when nearly brain dead? Is the task vital? Is it desired, but not necessary? Is it mildly important? Is the task urgent or are you able to postpone this assignment until a later date?

Three: Don’t spend energy on unimportant tasks

Use short bursts of time well. Fill in those 30 or 60-minute ‘breaks’ in your schedule with important tasks rather than time fillers. More importantly, block time on your calendars to work on your most important goals, projects, and tasks. Use Friday to plan and schedule big blocks of time for your most important goals on your calendar for the next week. Then at the end of each day, determine what is due in the next day or two, identify gaps in your schedule, and then add essential tasks from your ‘system’ onto your calendar.
